Hope College Sponsorship Guidelines

BACKGROUND

Hope College aims to support its academic mission while being good stewards of the college's resources. Because of Hope's excellent facilities and a built-in audience of students, faculty and staff, many people want to host their event at the college. While Hope College actively seeks to engage the West Michigan community on our campus, it is important to realize that all events cost the college in terms of staff time, building wear and tear, and possible lost revenue for other rentals.

Many of those waivers help support our academic mission or help build good relationships with the community. Still, a balance of how much to give away and a need to be sensitive to groups that do pay for our resources, the following process for seeking a waiver has been created.

  1.  Fill out the online form with the information needed to request a sponsorship.
  2. The Events and Conferences Office (ECO) will calculate an approximate cost based on space rental being waived and staff time needed to support the event. The ECO will inform the applicant of the cost and where the request is being sent for review.
  3. If the requested amount is less than $1,800, the VP for Public Affairs and Marketing (or designee) may approve the waiver considering the following criteria:
    • The event supports Hope College's academic mission
    • The event supports a recognized community non-profit
    • Number of requests received for the academic year
    • Stress on facility space and/or support staff
    • The VP's comfort level with having Hope support the event
  4. If the request is for more than $1,800 or the VP for Public Affairs and Marketing is not comfortable approving the event, then a request from an academic department will be reviewed by the provost and non-academic requests will be reviewed by the president (or designee).

SPONSORSHIP CATEGORIES

WAIVER
The college waives all staff and rental costs, but does not want to be listed as a sponsor.
SPONSORSHIP
 The college supports the program and waives all staff and rental costs.
CO-SPONSORSHIP
The college supports the program and will cover 50% of rental and staff costs with a non-Hope group paying the other 50%.
