Student Employee Resources
Congratulations on obtaining a job at Hope! Once you’re officially hired, you will need to complete employment paperwork and department onboarding tasks. This page explains the required and optional employment paperwork.

Employment Paperwork
After receiving a job offer, to officially become a student employee you will need to fill out the required employment paperwork on or prior to your first day of work. This includes:
- Federal I-9 (Employment Eligibility Verification)

All employees must complete a Federal I-9 on or before their first day of work:
- The I-9 requires that documents be shown that establish your identity and employment authorization.
- A list of acceptable documents is on page 2 of the I-9 and can also be found at the U.S. Citizen and Immigration Services website.
- The documents presented at the Human Resources office must be the originals; photocopies, scans or pictures cannot be accepted.
Common documents used for the I-9 are (this is not an exhaustive list):
- List A: U.S. Passport, or
- List B: Driver’s license and Social Security card or birth certificate
- I-9 Requirements for International Students

International students need to present a current passport and your I-94 document for the I-9.
Additionally, international students will need to complete the following forms at the Human Resources office:
- Foreign National Certificate
- Form 8233 (only if applicable)
If you do not have a Social Security number, you will need to apply for one before submitting your employment paperwork. Bring in your receipt for Social Security with your paperwork to start the process. You will need to return with your Social Security Card once received to complete the process and begin getting paid.

- W-4 (Federal and State)

Federal and State W-4s provide information for Hope College to set up the appropriate level of income tax withholdings from paychecks. Employees needs to complete both of these forms:
Note: if your permanent residence is in Illinois, Indiana, Kentucky, Minnesota or Ohio, you will complete a Certificate of Non-Residency form instead of the Michigan W-4.
PAYCHECK OPTIONS
Paychecks are issued every other Friday, paydates are listed in the Payroll Calendar section below. There are three options for receiving paychecks:
- Direct Deposit (Recommended)
- Employees are strongly encouraged to sign up for direct deposit of their paycheck. Direct deposit can be set up in the Hope College App (instructions available on the Payroll and Forms page) or by submitting the Direct Deposit Form to the Human Resources office.
- Deposited to Student Account
- Student employees can also have all or a portion of their paycheck applied to their student account. To take advantage of this option, please complete a Student Account Deposit Form and bring it to the Human Resources office.
- Paper Paycheck

By default, if direct deposit is not setup, employees are issued a paper check.
Paper checks are not mailed and need to be picked up in the Human Resources office every other Friday.
Timesheets
- Student employees are required to acurately record their hours worked in the Hope College App (phone) or at app.hope.edu (computer).
- Timesheet are due at the end of each pay period; we recommend that you submit your timesheet after your last shift of the pay period with a submission deadline of 11:59 p.m. on Sunday.

- On the rare occation you forget to submit your timesheet or forget to enter a shift on a submitted timesheet, please complete a Back Pay Request Form.

OPT IN FOR ELECTRONIC W-2
Student Employees are encouraged to sign up to receive their W-2s electronically in the Hope College App. To opt in/out:
- Log into the Hope College App
- Under Tools in the left sidebar, expand My College Account and select Employee
- On the Employee Dashoboard, expand the Taxes section
- Click onthe Electronic Regulatory Consent text hyperlink
- Check the box for Consent to receive W-2 electronically
- Click on the Submit button
